When a tenant pays rent, your job is to confirm that payment in Leja Professional so it becomes a permanent witnessed record. The moment you confirm, Leja creates a payment event in the property’s Trust Graph, calculates whether the payment was on time or late, and generates a state-compliant receipt automatically. You cannot undo a confirmed payment — that immutability is exactly what makes it trustworthy. You have two methods to record a payment: manual entry (you type the details yourself) and AI-assisted extraction (you paste or upload a bank alert and Leja reads the details for you). Both methods result in the same witnessed record. The AI method is faster for high-volume portfolios.

Before you start

Make sure the tenant and their active rent charge exist in Leja Professional. Payments are always linked to a specific rent charge — Leja won’t let you confirm a floating payment with no corresponding invoice.

Method 1: Manual entry

Use this method when you have the payment details to hand and do not have a digital bank alert to work from.

Open the Payments section

Go to Treasury → Payments at professional.leja.com. You’ll see your payment history and a button to record a new payment.

Select the tenant and rent charge

Search for the tenant by name or unit. Leja shows you their outstanding rent charges. Select the charge this payment applies to.

Enter the payment details

Fill in the following fields:
  • Amount paid — the exact amount received
  • Payment date — the date the funds were received, not the date you’re recording it
  • Payment method — bank transfer, cash, cheque, POS, or online transfer
  • Reference (optional) — transaction reference from the bank alert or receipt
  • Notes (optional) — any context you want to attach to this payment

Review and confirm

Leja shows you a summary before you confirm. Check the amount, date, and tenant name. When you confirm, the payment record is final — it cannot be edited or deleted.

Method 2: AI-assisted extraction

Use this method when you have a bank notification — either a text alert forwarded by the tenant or a screenshot of the bank’s transaction confirmation. Leja reads the alert and extracts the payment details for you to review.
AI-assisted extraction costs ₦250 per confirmed extraction. You are only charged when you confirm the payment — not when you submit the alert for processing.

Open the AI extraction panel

Go to Treasury → Payments and select Record with AI. You’ll see the extraction input panel.

Submit the bank alert

Either paste the full text of the bank alert into the text field, or upload a screenshot (JPEG or PNG). Leja accepts alerts from all major Nigerian banks.

Review the extracted fields

Leja returns the fields it has read from the alert:
  • Amount — extracted from the transaction line
  • Payer name — extracted from the sender information
  • Date — extracted from the alert timestamp
  • Reference — extracted from the transaction reference line
Each field shows an AI confidence indicator. Fields with lower confidence are highlighted for your attention.

Correct any errors

You can edit any extracted field before confirming. If a field is wrong, change it — your confirmed version is what goes on the record, not the raw AI output.

Link to the rent charge

Select which tenant and rent charge this payment applies to. Leja may suggest a match based on the amount and payer name, but you make the final decision.

Confirm the payment

Once you confirm, the payment is recorded. The witnessed record uses your reviewed and confirmed data — the AI output is stored alongside it for reference, but your confirmation is what counts.

What happens after you confirm

Every confirmed payment triggers the following automatically:
  • A payment event is written to the tenant’s Trust Graph (on time, late, partial, or missed — based on the payment date vs. the due date)
  • A state-compliant PDF receipt is generated and linked to the payment
  • The rent charge status updates to reflect the amount paid
  • The payment appears in the landlord’s statement history
Confirmed payments are immutable. Leja does not allow edits, deletions, or reversals once a payment is confirmed. If you made an error, contact your organisation administrator — a correction requires a separate journal note, not a deletion.
