Business RIN (BRN) Management and Firm-Level Operations


What Makes Organisation Use Different

An organisation is not a large solo agent. An organisation is a registered business entity with a BRN, staff with their own personal RINs, and a firm-level Trust Graph that accumulates independently of any individual staff member. Everything a solo agent can do, org staff can do. Organisations additionally have:
  • BRN-level identity and verification
  • Staff management (invite, role assignment, deactivation)
  • Firm-level performance monitoring
  • Operator intelligence operating across the full pipeline
  • Staff transition management (onboarding, departures)

Organisation Setup

Creating the BRN:
  1. MANAGING_DIRECTOR completes their personal NIN_VERIFIED (minimum)
  2. CAC registration certificate uploaded and number verified
  3. LASRERA permit uploaded (Lagos-based firms — required before using Lagos Tenancy Law compliance features)
  4. Operating states declared
  5. Business address entered (LGA required, full address optional)
  6. BRN issued at PROVISIONAL tier
Adding staff:
  1. MANAGING_DIRECTOR sends email invite to staff member
  2. Staff member registers or logs in with their personal Leja account
  3. Staff member accepts the employment link
  4. Their personal RIN is now linked to the BRN with their role
  5. Their activity on Leja Professional is attributed to both their RIN and the BRN

Staff Role Permissions

MANAGING_DIRECTOR:
  ✓ Full access to all org settings
  ✓ View all staff performance data
  ✓ Add and remove staff
  ✓ Manage subscription and billing
  ✓ View firm-level Trust Graph
  ✓ Access all properties and tenants in org

SENIOR_AGENT:
  ✓ Manage their own client portfolio
  ✓ View their own performance data
  ✓ Create properties, units, tenants, charges, payments
  ✗ Cannot modify org settings
  ✗ Cannot view other staff performance data

AGENT:
  ✓ Manage active listings and assigned clients
  ✓ View own performance data
  ✓ Create and confirm payments within assigned portfolio
  ✗ Cannot access the full org portfolio

ACCOUNTS:
  ✓ View financial records across the organisation
  ✓ Export statements and financial summaries
  ✗ Cannot manage properties or clients

ADMIN:
  ✓ Manage properties and tenants
  ✓ Create and manage charges
  ✗ Cannot access financial data or staff management

Firm-Level Features

Firm-Level Trust Graph Dashboard (MANAGING_DIRECTOR)

  • Firm-level dispute rate (vs. industry average — Milestone Wave 2)
  • Firm-level client satisfaction score
  • Compliance status: LASRERA renewals, CAC filing deadlines
  • Staff Trust Graph trend (are individual staff graphs improving or declining?)
  • Pipeline status across all active staff
Early warning system: AI monitors the firm-level BRN and alerts when:
  • Individual staff dispute rate rises above threshold
  • Firm-level satisfaction score declines two periods in a row
  • LASRERA permit approaching renewal date
  • CAC annual return approaching due date
  • A staff member’s Trust Graph shows a declining professional pattern

Staff Performance View

MANAGING_DIRECTOR can see (for each staff member):
  • Deals closed this month / quarter / year (banded)
  • Client satisfaction score for this staff member
  • Dispute rate for this staff member
  • Response time metrics
  • Document compliance quality
MANAGING_DIRECTOR cannot see:
  • Staff member’s personal residential history
  • Staff member’s Track 1 or Track 3 Resident data
  • Anything not directly related to their work at the firm

Candidate Hiring (Milestone Wave 2)

When hiring a new agent, the MANAGING_DIRECTOR can request that a candidate shares their Professional Record from their personal RIN. The candidate sees: “Coldwell Realty is requesting to view your Professional Record. This includes: deals closed, client satisfaction scores, dispute history, and professional tenure at previous firms. Your residential history is not included.” The candidate can grant or decline. If granted: MANAGING_DIRECTOR sees the candidate’s verified Professional Record. This replaces the unverifiable self-reported CV.

Staff Transition Management

Onboarding a New Staff Member

  1. Invite sent via email by MANAGING_DIRECTOR
  2. Staff member registers or links existing Leja account
  3. Role assigned (SENIOR_AGENT, AGENT, ACCOUNTS, ADMIN)
  4. Access activated immediately
  5. Staff member’s historical Professional Record (from previous firms) visible to MANAGING_DIRECTOR with consent
  6. New chapter begins accumulating on staff member’s personal RIN attributed to this BRN

Departing Staff Member

  1. Departure initiated (by MANAGING_DIRECTOR or staff member)
  2. Org can add departure attestation: “Completed X transactions. Departed in good standing. [Date].” OR flag a contentious departure (triggers resolution process)
  3. Employment link severed
  4. Staff member’s personal RIN retains their Professional Record chapter
  5. BRN retains aggregated firm-level performance (no individual data)
  6. Access deactivated within 1 hour of departure confirmation
What the firm cannot do at departure:
  • Delete any record from that staff member’s tenure
  • Remove attribution of deals from the staff member’s Professional Record
  • Access the staff member’s personal RIN after link is severed
